Before the season starts
Build a contact list with every parent’s phone and email
Set up a group chat or team app
Share the practice and game schedule
Collect emergency contacts and any allergies
Make the snack and drink sign-up
Ask about team fees, uniforms and photo day
Every week
Send game times, field addresses and arrival times
Remind the snack family the day before
Share weather or rainout updates fast
Track who has paid what
Tournament weekends
Share the hotel block and booking deadline
Post the bracket and game times as they change
Plan a team meal or dugout snacks
Bring a first-aid kit, sunscreen and extra water
End of the season
Collect money for the coach’s thank-you gift
Plan the end-of-season party
Gather photos for a slideshow or keepsake
Thank the parents who helped all season
